Privacy Policy

1. Who we are and scope

This Policy applies to Notary Tech LLC, a Florida limited liability company doing business as Notary Melon and Notary Stack, and to NotaryMelon.com, notarystack.app, and their booking and notarization services. We operate from Palm Beach County, Florida. It covers information from customers and people who use the Services; a document may also contain information about others.

2. Information we collect

We collect information you provide, including your name, contact details, physical location at the time of the session, booking details, communications, documents you upload, signatures and other information placed on documents, and images of identification presented for a notarization. We collect payment status, amounts, transaction identifiers, and limited payment details supplied by our payment processor; full card numbers are handled by that processor rather than stored in our application.

We also collect the live session’s audio and video, completed notarized documents, electronic journal entries, consent choices and their timestamps, and technical information needed to operate and secure the Services, such as device, browser, IP address, event logs, and access records. Information in an uploaded document may be sensitive. Please upload only material needed for the requested service.

3. How we use information

We use information to book and provide sessions, deliver completed documents, process payments and refunds, communicate about service, keep legally required records, maintain security, respond to requests, investigate problems, and comply with law. We use ID images to support the notarization workflow and retain them on restricted-access online storage for the period stated below. We do not use your documents or ID images to advertise to you.

4. Who can access information and when we disclose it

The notary can access records needed to perform and document that notary’s sessions. Authorized administrative personnel can access session records, recordings, original and completed PDFs, and ID images only for defined support, compliance, security, delivery, and record-management tasks. We restrict access by role and log access to sensitive records. We use service providers for functions such as hosting, storage, payments, email, SMS, and video; they receive information needed to perform those functions and must protect it. We may disclose information when legally required, to respond to a lawful request, to protect rights or safety, or in connection with a business transfer subject to appropriate protections.

We do not sell personal information or share it with third parties for promotional or marketing purposes. Mobile information, SMS opt-in data, and SMS consent status will not be sold or shared with third parties or affiliates for their own promotional or marketing purposes. We share SMS information only with providers and carriers needed to deliver and administer the messaging program or when legally required. We do not send promotional SMS.

5. Retention

We retain the electronic notary journal, its backup, and the uninterrupted, unedited session recording for at least 10 years after the notarial act. We retain the exact completed notarized PDF for 10 years after completion to support delivery, authenticity, and dispute resolution. We retain ID images for 90 days after a completed or attempted session, then delete them from active storage, unless a dispute, investigation, legal hold, or applicable law requires longer. Uploaded originals and documents for abandoned or canceled bookings are deleted from active storage within 30 days after completion, cancellation, or expiration, unless needed for a dispute or legal obligation. We retain consent and transaction records for 10 years after the related completed session, and records of unsuccessful or canceled bookings for one year, except where payment, fraud, dispute, or legal requirements call for longer retention. Security logs are ordinarily retained for one year. Backup copies may persist for up to 90 additional days before routine rotation, with access restricted during that period. If a legal hold applies, the relevant records remain until it is resolved. Retention periods run from the relevant event, not from account closure.

6. Security

We use access controls, encryption in transit and at rest, restricted administrator permissions, logging, backups for required records, and other reasonable safeguards. No online system can guarantee absolute security. We protect the journal and notary credentials so authorized platform administration cannot be used to impersonate the notary or silently change journal entries or completed records.

7. Your choices and requests

You may decline optional SMS consent, and you may opt out later by replying STOP. Reply HELP for assistance. You may request access to, correction of, or deletion of information by calling 561-576-0919 or using the contact form on the applicable website. We will verify your identity before releasing sensitive records. Some information cannot be deleted on request while we must retain it under Florida notary law or for another valid legal reason. Access to journal entries and recordings may be governed by Florida law and may require us to verify that the requester is entitled to receive them. We will respond to applicable privacy rights under the laws that govern your request.

8. Cookies and technical data

We use cookies or similar technologies needed to keep sessions working and secure. If we later introduce optional advertising or analytics technologies, we will update this Policy and provide any legally required controls before using them. Your browser may offer cookie controls, although disabling necessary cookies can prevent a session from working.

9. Children and changes

The Services are for adults age 18 or older. We do not knowingly offer them to children. We may update this Policy as our operations or legal requirements change and will post the revised version with its effective date. Material changes will apply prospectively where required.
